After completing of your stocktake, when you click the “Update inventory” button, the app will email your store owner a stocktake report, an error log, and an optional discrepancy report in CSV format. You can add more email recipients for these reports/logs under Preferences -> App settings.
Report CSV file
If you did a full stocktake, the report csv file will contain all products in your stocktake. If you did a cycle count, the report CSV file will contain only products that you scanned/counted.
CSV file format:
-
- variantid – Unique 14 digit numeric ID assigned by Shopify to all product-variants including products with no variants
- sku – From Shopify product data.
- barcode – From Shopify product data.
- status – Either “stock matched” if correct, “stock mismatched” if your count is different from Shopify’s stock, or “stock out” if no stock.
- available – Original available stock reported by Shopify when the stocktake was started.
- unfulfilled – Original committed/unfulfilled stock reported by Shopify when the stocktake was started.
- packed – Any in-store-pickup/local-delivery products marked as ready for pickup/delivery.
- actual – Your physical inventory that you either scanned or manually counted.
- adjustment – Adjustment that is either added or subtracted to Shopify’s available stock during the inventory update.
- unitcost – From Shopify product data.
- price – From Shopify product data.
- compareatprice – From Shopify product data.
- vendor – From Shopify product data.
- producttype – From Shopify product data.
- title – From Shopify product data.
- metafields – Up to 3 metafields are exported if setup under Preferences -> App settings.
- devices – Counts from individual devices when doing a multi-device stocktake.
Error log CSV file
The error log shows you the list of scanned or searched products for which the app found no products or found more than one product. This list is useful if you wish to add missing barcodes or fix duplicate barcodes in you inventory.
CSV file format:
-
- Barcode: The scanned/searched barcode or product name
- Found: The number of products from (zero or greater than 1)
- ScanCount: The number of times this barcode was scanned during your stocktake
- Device: The scanning device’s letter code
Discrepancy CSV report
The discrepancy report is generated after stock is updated in Shopify by our app. It contains the list of products that had their Shopify available stock changed outside the app while a stocktake was in progress. If you are unable to scan or keep track of products being sold via your POS during a stocktake, you can manually go through this discrepancy list and fix the stock for the products that have stock errors. Look for the column labelled discrepancy to view the difference between the currently available Shopify stock and the expected stock. Positive numbers denote stock was added while the stocktake was in progress, and negative numbers if stock was removed during the stocktake.
